2. Scope
This Privacy Policy applies to QRVS Academy and the associated Moodle learning platform operated by QR Virtual Services. QRVS may also operate other educational services, including QRVS Academy.

- Virtual classroom participation
- Assignments, examinations and grades
- Certificate generation and verification
- Payments and accounting

4. Categories of Personal Data
- Name, username and contact information
- Country and language preferences
- IP address, browser and security logs
- Course activity, attendance and progress records
- Assignment, examination and grade records
- Certificates and certificate-verification records
- Messages and support communications
- Payment references processed through external payment providers
QRVS does not store complete payment-card details.
5. Legal Bases
Depending on the processing activity, personal data may be processed to perform a contract, take pre-contractual steps, fulfil legal obligations, protect legitimate interests, or based on consent where consent is required.
6. Cookies and Consent Management
VALI uses technically necessary cookies and similar storage technologies for authentication, security, session management, language selection and operation of the learning platform.
Where a cookie or comparable technology is not strictly necessary for a service expressly requested by the user, it will be activated only after the user has received appropriate information and provided consent where legally required.
Users can manage their preferences through the cookie settings offered on the website, where available. They can also delete or block cookies through their browser settings. Consent to optional technologies may be withdrawn for the future without affecting processing that occurred lawfully before withdrawal.
Blocking technically necessary cookies may prevent account login, course access or other essential platform functions.
7. Virtual Classrooms and Recordings
Moodle and BigBlueButton may be used for teaching, meetings, examinations and academic support. Where a session is recorded, users will be informed as required. Recordings may contain audio, video, presentations, participant names and chat messages.
Access to recordings is restricted to authorised users. Retention depends on the educational, examination, documentation and legal purpose of the recording.
8. Service Providers
Depending on the service selected, QRVS may use providers supporting Moodle hosting, BigBlueButton, email delivery, payments, customer communication, maps, embedded media, spam prevention and technical infrastructure.
Providers receive personal data only to the extent necessary for the respective purpose and subject to the applicable contractual and legal safeguards.
9. Retention
Account and learning data is retained for as long as needed to operate the user account and provide educational services. Examination, accounting, contractual and certificate records may be retained longer where this is required for verification, defence of legal claims or statutory retention duties.
Backups are retained according to the operational backup cycle and are overwritten or deleted in accordance with the applicable retention schedule.
10. Your Data-Protection Rights
Subject to the applicable legal requirements, users may request:
- Access to their personal data
- Correction of inaccurate personal data
- Deletion where no overriding legal ground requires retention
- Restriction of processing
- Data portability where applicable
- Objection to processing based on legitimate interests
- Withdrawal of consent for the future
- Information about recipients and relevant international transfers
To exercise a right, send an email to info@qrvs.de . Please state the account email and the type of request. Additional information may be requested where reasonably necessary to verify identity.
Requests are handled without undue delay and normally within one month. This period may be extended where permitted by law for complex or numerous requests, in which case the requester will be informed.
11. Complaints
Users also have the right to lodge a complaint with a competent data-protection supervisory authority.
12. Security
QRVS uses appropriate technical and organisational measures intended to protect personal data against accidental loss, unauthorised access, alteration and disclosure. Access is restricted according to role and operational necessity.
13. Changes to this Privacy Policy
QRVS may update this Privacy Policy to reflect changes in law, technology, services or internal processes. The current version and its effective date will remain available on this page.
Where an update materially affects users or their rights, users will be notified by an appropriate method, such as a notice on the website, a notice in the Moodle account, or email where required or appropriate. Where renewed consent is legally required, the relevant service will not rely on the new consent until it has been obtained.
